New revised forms released

The forms we publish to help museums follow best practice and meet Spectrum standards have been revised to take account of the 2018 changes to data protection law, with those signing the forms now indicating that they have been made aware of the museum’s privacy notice. The new object entry, object exit, and transfer of title forms are available to order from our online shop. Please see below for more details of the revisions to the forms.

You can, by the way, continue to use previous versions of our forms, but your procedures need to ensure that those signing them have been shown your privacy notice. The new wording on the revised forms will prompt you to do this and document that it has been done.

Object entry forms:
Depositors now indicate that they have been made aware of the museum’s privacy notice, and also acknowledge that the museum will capture, store, edit and transit information associated with acquired objects in line with that privacy notice.

We have also taken out the previous wording that, by default, required donors/vendors to assign to the museum any copyright they might hold in the acquired object. Instead, it is suggested that agreements about assigning or licensing relevant copyright should be documented separately.

Object exit forms:
Those signing the form now indicate that they have been made aware of the museum’s privacy notice.

Transfer of title:
The 2018 revision of the Collections Trust transfer of title form takes the opportunity to bring the wording of the agreement and conditions in line with that of the object entry form. This takes into account recent changes to data protection law. Those signing the form now indicate that they have been made aware of the museum’s privacy notice, and also acknowledge that the museum will capture, store, edit and transmit information associated with acquired objects in line with that privacy notice.
